These are the duties and responsibilities expected of each servant during the ECCYC. Servants have their individual church responsibilities and general ECCYC responsibilities. Church Responsibilities: The purpose of this spiritual convention is to establish and nurture Christian fellowship. Accordingly, attendance in all meetings, activities, prayer, and the Holy Divine Liturgy is MANDATORY. Make sure that your youth group ATTENDS and is PROMPT at ALL scheduled events.
Make sure your youth group is WITH YOU at ALL times. This includes all meetings, the liturgy, sports and activities, and meals.
High School Youth Groups are required to have at least one church servant for every five participating youth; and every church must have at least one servant even if less than five youth are participating.
College Youth Groups are required to have at least one church servant for every seven participating youth; and every church must have at least one servant even if less than seven youth are participating.
Make sure that your youth group exhibits appropriate Christian behavior at all times.
Appropriate attire is required for all meetings, prayer and the Liturgy Service, sports and leisure activities. Please ensure compliance. NOTE: No shorts and sleeveless tops are allowed during the meetings.
Make sure that appropriate arrangements are made with your church regarding transportation to the convention site. For High School, there should be no individuals traveling to the convention separate from their church.
No one is allowed to leave the convention grounds without specific permission from General Coordinator.
Make sure that your youth group is checked-in to their ASSIGNED rooms. Do NOT allow them to change rooms. The time for choosing roommates was during the registration process. We can not allow it during the convention. If a change is necessary, it must be approved by the General Coordinator.
Make sure that no food or drinks are allowed in the bedrooms. Please discard all packages and containers properly.
Make sure that your youth group is in their assigned rooms at the SCHEDULED TIME for Goodnight. They are not permitted to be in the halls, in other people’s rooms, or in the bathrooms after the scheduled time. In addition, the lights-out policy must be enforced.
Make sure that your youth group WAKES-UP at least one half-hour before the first scheduled function. Please allow them enough time to get ready and make it on time to the first scheduled function.
Make sure that your youth group is wearing their nametags at all times.
Make sure that your youth group is in their assigned Workshop Rooms.
No smoking or consumption of alcoholic beverages are allowed at any time during the convention. In addition, no CD players, MP3’s, iPods, radios, walkmans, TVs or the like are allowed. Finally, please instruct youth group to turn off all cell phones during meetings, prayers and services.
Check-Out: Before departing on the final day, instruct youth group to strip the beds and place the sheets inside the pillow case and place it in the first floor lobby. Please place towels alongside and not inside the pillow cases. Check-Out must be completed by 10:00AM on the day of departure. Upon check-out, place luggage in the main lobby. Any servant staying for two consecutive sessions must notify the General Coordinator.
No males or females are allowed to visit each other's floors/buildings. This applies to everyone, even brothers and sisters, husbands and wives, and fiancés.
Each church must have at least one servant ready and prepared to provide transportation back home for any disorderly youth from their respective church.
General Responsibilities: Monitor the hallway where you and your youth group sleep at night. Make sure that everyone is in his or her assigned rooms. Communicate the status of your hallway with the General Coordinator.
Write-up any youth that refuse to obey the rules and communicate this with the General Coordinator.
Notify the Coordinator of any fights or arguments between the youth.
Supervise and participate in the sports and activities with the youth.
During all meals and snacks, we will require servants to monitor the amount of food each person is taking. Please limit the children to one serving. After all the youth have a first serving, then allow those who want another serving, one more. Do not allow two servings at a time.
After meals, make sure the tables in the cafeteria are cleaned.
Keep an eye-out for youth wandering without a servant or youth not following the schedule. Notify the Coordinator in such an event.
It is of the utmost importance that all servants strictly adhere to these rules for the sake of unity and for the success of the convention.
